Great Opportunity! The Property Manager is responsible for the operation, physical condition, and general performance of the property. Within that overall responsibility, this position must supervise personnel assigned to the property and ensure the highest possible standards and efficiency of building maintenance and cleanliness. The Property Manager is responsible for maintaining and operating in a high-quality fashion, while controlling operating expenses. The Property Manager supervises all personnel at the property and maintains tenant satisfaction, retention, and promotes excellent tenant relations.
Major Duties and Responsibilities:
- Ability to communicate with tenants (by telephone, e-mail, personal meetings) to address special service requests, to resolve problems and to build goodwill in order to preserve tenant satisfaction with the property and to ensure that tenants observe and fully understand building operating policies and procedures.
- Approves plans and procedures for handling complaints or requests from building tenants or occupants.
- Oversees all operations and interface with the supervising manager. The position will approve all payables; review and recommend capital improvement projects, annual budgets, monthly variance reports, and negotiate and execute contracts.
- Manages daily/weekly (or as needed) meetings with architects, construction contractors, and tenants to oversee tenant space buildouts/improvements in order to maintain a high quality of construction and to meet tenant move-in schedules.
- Manages the performance of contractors working on the property daily in order to ensure adherence to work orders and budgets. Oversees request and review of the required insurance certificates in order to ensure adequate coverage in accordance with the contracts in place for the work being performed.
- Solicits, recommends and administers service contracts, project service agreements, purchase orders, work orders, approval of payables, landlord/user liaison, and tenant relations.
- Ability to develop and implement plans and procedures covering building cleaning, mechanical engineering, and building maintenance operations.
- Coordinates plans and procedures with building service department supervisors including engineering, maintenance, janitorial, parking, security, elevator, etc.
- Coordinates activities of subcontractors and police maintenance contracts.
- Monitors and updates property website.
- Prepares and submits budget recommendations and to exercise control over operating expenditures.
- Visually inspects the physical condition of the building interior and exterior on a weekly (monthly at a minimum) to detect needed repairs and monitors routine maintenance in order to maintain the highest quality facility. Report and make recommendations.
- Continually evaluates all phases of building operation in order to enhance aesthetics, the efficiency of the operation, and to maximize cost effectiveness.
- Attracts, supervises, develops, and trains a professional team of employees in the performance of their duties.
- Cooperates with leasing personnel and contractors in showing prospective tenant building facilities and vacant space for lease.
- Maintains programs designed to enhance tenant relations and ensure retention of quality tenants.
- Assists tenants, prospective tenants, and the leasing personnel in planning offices, office layout, and estimating costs.
- Ability to determine the adequate inventories of operating and maintenance supplies are on hand.
- Keeps supervising manager and/or building owner informed of development with respect to operations as requested.
- Analyzes and apprises regularly and systematically the effectiveness of operations and offer recommendations as needed.
- Directs and implements a responsible program to establish and maintain respected community relations involvement within the project community, project area, and city.
- Ensures that subordinates are delegated adequate authority to carry out their responsibilities and objectives, but that appropriate limitations of their authority are defined and clearly understood.
- Ensures that policies are observed and to see that prompt corrective action is taken as needed.
- Regular and predictable attendance at the Company’s place of business during scheduled work hours is an essential function of this job, unless otherwise required by federal, state or leave of absence laws.
- Adheres to Madison Marquette Standards and participates in necessary Standards training.
- Some travel may be required.

Qualifications:
- Bachelor’s degree (B.A. or B.S.) from accredited four-year college or university; and five year’s related experience and/or training; or equivalent combination of education and experience.
- Minimum 3-5 years commercial property management experience.
- Proficient in Excel, required.
- State of Hawaii Real Estate Salesperson License, required.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
- Ability to read, analyze, and interpret general technical procedures or governmental regulations.
- Ability to write reports and business correspondence.
- Ability to effectively present information and respond to questions from groups of managers and clients.
- Ability to solve practical problems.
- Ability to interpret a variety of instructions furnished in writing, oral, diagram, or schedule form.
- Strong interpersonal skills.
- Excellent organizational, verbal and written communications skills.
- Proficiency in the use of personal computer and word processing software.
Physical Demands: The employee is frequently required to sit, talk or hear. The employee frequently is required to stand and walk. The employee is occasionally required to use hands to finger, handle, or feel documents and office equipment. May occasionally be required to lift up to 10 pounds a distance of 30 feet as needed. Must be able to move freely throughout the property, including moving up and down stairs.
While performing the duties of this job, the employee primarily operates within a single office environment, but may also walk throughout the building sites and grounds. Must be able to utilize standard office equipment such as telephone, computer, calculator, etc. The noise level in the work environment is usually quiet.
