Job Description

The Occupancy Planner will provide tactical and strategic Space & Occupancy Planning expertise to manage the supply, capacity and demand of assigned Client’s New York City portfolio of space. Provides professional project management experience to designated projects and assignments at a client site, campus, and facilities. Interacts with client representatives onsite, receives direction and coordinates with the property or facility management team. Monitors and coordinates the execution of the various services and processes relating to client contracted agreements for project management and tenant improvements. Works in collaboration with the assigned account manager, building or facility management team, clients, owners and others.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Work closely with the Client/Client Liaison to manage the site moves. Facilitate weekly moves including both internal and site to site moves.
  • Coordinate and schedule project moves with assigned Project Managers.
  • Develop and maintain excellent working relationship with key business partners, vendor partners and Site Operations Manager.
  • Develop site occupancy plan to manage supply and demand dynamics including: analysis of forecasted headcount and seat supply projections, supporting graphs, stacking plans, move scenarios, challenges and pros/cons for each recommendation.
  • Implement move plan in accordance with the approved occupancy plan
  • Alter/recommend changes to the plan as business drivers, mergers, acquisitions or dispositions arise.
  • Facilitate neighborhood planning, move meetings or town halls in support of occupancy plans
  • Support change management efforts as needed pertaining to changing work space designs and work style approaches
  • Support communication plan as it pertains to occupancy plan
  • Drive to improve Client awareness by providing trending analysis including historical perspective of new hire, terminations, moves, vacancy, actual vs forecast.
  • Strive to maintain best in class space and occupancy data
  • Implement processes in accordance with Client’s Worldwide Design Guidelines for space & occupancy planning. May be required to travel to the Clients corporate Headquarters. in Purchase, NY.

• Prepare and coordinate occupancy reports and drawing reviews for clients, property/facility management team, and project team (as applicable) at conceptual, schematic, design development and construction phases of project
• Support the marketing of services to clients as requested
• Adhere to corporate, building, and client policies and procedures
• Cooperate with other building/facility personnel to achieve goals and objectives as to quality, service, cost and profit
• Report to immediate supervisor major problems and findings and results achieved with recommendations
• Advise and obtain the necessary approvals from the appropriate members of management of potential organizational changes, actions that might require additional commitments, and the need for expenditures in excess of approved budget
• Adhere to government laws and regulations and established rulings of government authorities, including building codes, safety regulations, etc.

IMPORTANT EDUCATION
• Degree in Interior Design, Facilities Management or Architecture.

IMPORTANT EXPERIENCE
• 2-5 years AutoCAD experience, applying poly-lining methodologies and standards (i.e. BOMA Standard Method), managing and reporting accurate and up-to-date space and occupancy related data.

•Advanced skills in Excel
• Advanced skills in Adobe and Microsoft applications
• Advanced skills CAFM\IWMS 

ADDITIONAL ELIGIBILITY QUALIFICATIONS

• Ability to read and understand construction specifications and blueprints
• Strong proficiency with MS Office Suite (MS Word, Excel and PowerPoint)

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
