Job Description

This position will support the Ridgefield, CT site in all aspects of planning, space programming, design, estimating, implementing, and inspection activities for internal projects as well as for all existing facilities, inclusive of Regional US sites upon request. This position will also be responsible for contributing to the Site Master Plan, providing information and proposals to address the changing site needs. Provide coordination of Infrastructure related topics, both existing, new, and proposed, as well as managing the day to day changes in personnel and space throughout the facilities. Utilizing a Facility Management Program, maintain and provide data to all other departments requiring information, such as headcount numbers, space allocations, costs per square foot, etc. Lead all activities related to the relocation and addition of personnel, such as Information Technology support, Security, Communication, contractors for moving, electrical data, etc.

 

Analyze, develop, review, and establish basis of design criteria utilizing Corporate Standards and Policies and the enforcement of said Standards post occupancy. Evaluate needs and solve requirements by proposing creative and constructive solutions.

Duties & Responsibilities:

  • Space Planning: Lead and provide the coordination, planning, design, and implementation of all Space Planning activities for all Administrative offices, including but not limited to furniture purchases, maintenance and repair, record keeping, scheduling, database maintenance, AutoCad drawing updates, personnel information, master planning, office reconfiguration, and personnel relocation.
  • Drawing and Database Maintenance: Primary contact/ Systems SME/Administrator. Administer activities related to the Facility Space Planning drawings using CAD and Facilities Management Program. Keep updated information on Architecture, furniture, space, personnel and department locations, as well as square footages. Maintain an accurate and active database to provide information as required and requested by both BIPI/BIUSA personnel and outside A/E firms, planners, etc. 
  • Provide Supervision of temporary contractors during planning, design, and implementation of in-house projects. Also provide the coordination required with Information Technology, Human Resources, Site Services, and Facility personnel as required to achieve a complete project.
  • Provide and approve architectural/facility design during all phases of projects to ensure a quality end result. Provide expertise/input towards ergonomic, life safety, ADA, Esthetic's, Building code and related items.
  • Responsible for entire furniture disposition program.  Inclusive of Purchasing, bid review, ordering, invoice approval/resolution, Storage, Inventory Management, transfer to other US based sites, donation and disposal. Generation of inventory reports.
  • When necessary, coordinate with Department Heads, Human Resources, and Finance to review and analyze projected headcount and space requirements. Present proposals and solutions to accommodate the planned space needs in alignment with Site Master Plan and US Space Planning Strategy. 
  • Will support all levels of projects assigned with minimal supervision(ranging in budget from $5K to $50 million and with a high degree of complexity)and in collaboration with Project Management team, provide coordination of both in house resources as well as external Contractors and suppliers, Engineers, Architects, Construction Managers.  Act as primary contact in this regard for all Infrastructure sub-projects. Conduct project walk-throughs as construction milestones are met or as required, problem solve, be present and provide approval during the installation of finishes and furnishings.

 

Requirements:

  • Bachelor’s degree concentrating in Interior Design, Architecture or Engineering from an accredited institution required
  • Exceptional level of understanding and business/technical knowledge regarding inter-department dependencies.
  • Customer Focused and results driven.
  • Knowledge of system furniture, strong decision making, organizational and planning skills, with the ability to schedule, prioritize, and plan many different activities at once. 
  • Ability to use technological tools and software, such as AutoCad, Facility Management software, MS office suite and ERP.
  • Minimum four (4) years leading projects and five (5) years Space Planning within a medium/large corporation, preferably Pharmaceutical/Healthcare industry.
