Swift Real Estate Partners is pleased to announce that we have an exciting opportunity for a Property Manager to oversee Swift’s historical Newhall Building and its event venue, The Newhall Nest. Located in San Francisco’s Financial District at 260 California Street, this beautiful 11-story high rise building built in 1908 consists of 50,132 square feet with 8-tenants. The Newhall Nest nestled atop the 11th floor, is a breathtaking gem offering spectacular views and amenities making it the perfect spot for corporate gatherings and private events. Conveniently located within walking distance to BART, MUNI and the Ferry Building, or perhaps you prefer to jump on a cable car that stops at the front door of the Newhall Building! Position Summary:
Using your talents in working closely with Swift’s asset managers, operations team and marketing manager, you will be recognized and rewarded for executing all aspects of property management to ensure Swift’s tenants and clients are well-served by being proactive in learning their needs, providing optimal property operations, and partnering with the Marketing Manager to roll-out first class events in The Newhall Nest.
Position Responsibilities Include:

Oversee and participate in TI-related meetings with project managers, architects and general contractors

Manage market-ready projects with project managers, architects and general contractors, including establishing building standard finishes to ensure building and budget compliance

Bid analysis of projects, including bid negotiations

Partnering with the Asset Manager and Construction/Development team, manage the capital improvement cycle including:
- Development scope
- Bid procurement
- Contractor selection
- Project approval
- Project execution
- Accounting Related:
-
Prepare annual budgets including income and expense projections
-
Prepare monthly operating reports including variance reports and rent roll review

Responsible for the general accounts of the properties including CAM reconciliations, accounts receivable, accounts payable, collection procedures and capital expenses

Capital Draw: Prepare tracking sheets and supporting back-up for submission to building partner

Collect revenue and rent

Approve coded invoices for processing

Maintain management office documentation and files such as:

- Lease files
- Operations files
- Accounting files
- Construction files
2. Tenant and Vendor Responsibilities:
- Develop and maintain tenant relations including implementing retention programs, overseeing tenant-related requests in the work order database system, responding to and resolving tenant issues and concerns, and organizing tenant appreciation events
3. The Newhall Nest Event Coordination:
- Oversee event set-up and preparation for clients
- Ensure janitorial promptly and thoroughly cleans The Nest after every event in preparation for future events
- Manage inventory for The Nest events
- Partner with the Marketing Manager and Asset Manager on managing The Nest and events with goal of increasing event revenue
4. Supervisory Responsibilties:
- Manage building staff, engineers, security guards and janitorial team in daily operations to ensure building standards are maintained
5. Building Safety Program
- As the Building Safety Warden, oversee the Building Safety Program including implementation of fire drills, floor warden and building personnel training

Review daily Security reports and promptly handle any issues requiring follow-up
6. Oversee and manage all building relating projects for the portfolio to ensure completion of projects in a timely manner and within budget perimeters
The Ideal Candidate Will Possess The Following:
- The ideal candidate will have a minimum of 5-years property management experience in commercial office/industrial property management with an in-depth and hands-on understanding of property management systems and processes
- Excellent communication and leadership skills
- Prior tenant event and/or event coordination experience
- Proficient in MS Office, strong financial experience in creating and running financial reports; leasing experience and Yardi a plus
- A 4-year degree is preferred, advanced degree is a plus.
- Outstanding customer service skills; strong team player capable of providing results under tight deadlines
- Excellent organization and communication skills
- Proactive with a focus on working independently, detail and results-oriented, yes-can-do attitude
