SUMMARY
RESPONSIBILITIES
- Draft, or assist in drafting, various aspects of proposals, letters of intent, lease documents, legal notices, storage agreements, license agreements, telecommunication agreements
- Conduct lease reviews and aid in review and preparation of Tenant Estoppels associated with property acquisitions, dispositions, and refinances.
- Review and redline proposals and LOIs, providing recommendations on proposed terms and language.
- Review tenant lease documents as requested.
- Assist with processing tenant option notices and renewals.
- Track encumbrances
- Update VTS, Prophia as needed.
- Assist with and monitor contract execution process, including use of DocuSign software.
- Organize and maintain transaction files, both physical and electronic, ensuring all documents are filed correctly and are easily accessible.
- Maintain lease abstracts.
- Maintain standard lease forms, amendments and templates, communicate with legal counsel regarding updating language as requested. .
- Maintain standard Lease exhibits
- Maintain accurate lease data and tenant contact information.
- Track key dates from initial tenant engagement to lease execution. Track key milestone dates outlined in leases and inform Asset Managers of variations. These will include information related to plans, permits and rent commencement,
- Update tools used for deal tracking.
- Monitor leasing activity history, lease expiration dates, completed deals, and dead deals across the portfolio.
- Preparing and tracking closing checklists as requested.
- Generate and/or maintain reports and summaries related to transaction status, timelines, and issues.
- Communicate tenant lease activity and distribute copies of lease documents and notices to relevant parties.
- Respond to Broker inquiries
- Aid in Tenant tour activities.
- Assist with due diligence process as needed.
- Conduct periodic legal research on real estate laws and changing regulations.
SKILLS + ABILITIES
- Must be comfortable with technology and should have a strong knowledge of Microsoft Office (Word, Outlook, and Excel).
- Prior experience working with Yardi and/or other similar real estate industry software products a plus.
- Able to meet deadlines in a fast-paced environment.
- Strong organization skills with attention to detail.
- Exceptional verbal and written communication skills.

MINIMUM QUALIFICATIONS
- Associate's or paralegal certificate (Preferred)
- At least 3-5 years of paralegal or similar experience.
- Experience in the commercial real estate industry preferred.
