ASSISTANT PROPERTY MANAGER
Job Function - Position is responsible for assisting the property managers with the management of all day-to-day operations and achieving property financial and operational objectives as defined by the property owner and the management company management team. Position also works with the property manager to ensure that all activities are conducted in compliance with all local, state and federal laws.
QUALIFICATIONS
Job Skills - Position requires excellent administrative, organization and customer service skills. Ability to successfully handle multiple priorities and multi-tasking. Must be able to successfully and effectively communicate and correspond with a variety of personnel. Must have good problem solving/analytical skills.
ESSENTIAL JOB FUNCTIONS
Answers and responds to tenant inquiries. Dispatches calls as needed. Ensures work request orders are tracked through to completion on the work order program in a timely manner. Follow-up with vendors as needed.
Works with property manager to perform monthly and quarterly property activity reports.
Works with property manager and property accountant to ensure all monies are being collected from tenants/owners for rents/association assessments due, operating expenses and any sundry charges.
Handles preparation of all tenant notices/memos for upcoming projects, meetings, and special events.
Works with maintenance team and vendors to ensure that budgeted projects are being completed and properly tracked.
Assists with filing property related items.
Conducts building inspections, vendor site walks.
Assists in new bid processes.
Assists with activation and distribution of building access cards/badges and continued management of multiple systems.
Maintains daily Property Management Tracker with updates as projects progress.
Manages key control system for all projects.
Assists in onboarding of new tenants to a project, as well as completes final tenant walk thru inspections.
Available after-hours to assist in emergencies should a need arise at any project within the portfolio.
Other duties as required.
