Administrative Assistant to the Development Team

Our projects cater to the unique needs of companies engaged in advanced manufacturing, space systems, energy storage, chemical production, and propulsion systems. Role and Responsibilities

The Executive Assistant will provide comprehensive administrative support to the development team, ensuring the efficient and smooth operation of all project management activities. The role involves coordinating communication, managing schedules, organizing meetings, handling correspondence, and supporting various tasks essential to the development process.
 

●       Provide administrative support to the development team, including scheduling meetings, coordinating travel arrangements, and managing calendars.

●       Organize and maintain project documentation, including contracts, reports, meeting minutes, and presentation materials.

●       Assist in the preparation and formatting of documents, presentations, and spreadsheets.

●       Coordinate and facilitate communication between internal teams, consultants, contractors, and clients.

●       Track and monitor project timelines, deliverables, and deadlines, and provide reminders and updates to team members.

●       Prepare meeting agendas, arrange meeting logistics, and take and distribute meeting notes.

●       Manage and respond to emails and other correspondence on behalf of the development team, ensuring timely follow-ups.

●       Assist in coordinating and organizing company events, site visits, and client meetings.

●       Support the preparation, submission, and tracking of Requests for Proposals (RFPs) and other project-related documents.

●       Assist in maintaining databases and filing systems, both electronic and paper.

●       Handle confidential and sensitive information with discretion and maintain high levels of professionalism.

●       Provide support in preparing expense reports, tracking budgets, and managing project expenses.

●       Manage ad hoc assignments and special projects as needed to support the development team.
 


 

Professional Qualifications

●       Bachelor’s degree or equivalent work experience preferred.
●       Three (3) or more years of experience in an administrative or executive support role, preferably in commercial real estate, construction, or development.
●       Strong organizational and multitasking skills, with the ability to prioritize and manage multiple tasks effectively.
●       Excellent written and verbal communication skills, with strong attention to detail.
●       Proficiency in Microsoft Office Suite: Excel, Word, Outlook, and PowerPoint.
●       Familiarity with project management software and tools (e.g., Microsoft Project, Procore) is a plus.
●       Ability to work independently and as part of a team in a fast-paced environment.
●       High level of professionalism, discretion, and confidentiality.
