Job Description
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Management & Operations:
· Conducts daily inspection of the Properties including common areas, grounds and retail spaces for curb appeal, safety and overall condition.
· Establishes and maintains effective working relationships with owners, vendors, employees and tenants.
· Coordinates with leasing, accounting, and/or construction teams to ensure the smooth transition and seamless tenant move-ins and move-outs.
· Coordinates with construction team on capital improvements and tenant buildouts.
· Monitors and directs facilities operations to ensure regular and preventative maintenance tasks are completed on schedule, service requests are completed within 24-48 hours, and curb appeal
standards are met.
· Complete oversight related to service contracts from developing RFP to awarding the contract based on company policy. Management of contracts to ensure vendor is adhering to all terms and
conductions of the contract.
· Develops & manages multi-year capital improvement, deferred maintenance and upgrade programs.
· Assesses property safety standings and recommends and manages action plans to minimize risk, damages, loss and claims. Conducts regular safety meetings with vendors and tenants.
· Ensures coverage for emergencies, on-call duties, tenant functions, and weekends.
· Oversee all aspects tenant management related to lease terms & conditions and operations in a timely efficient manner.
· Work closely with leasing representatives and marketing staff to develop consistent messages in support of project brand. Ensure “Brand Standards” and “The Experience” with visual merchandising,
amenities, digital, social media, gift card and Wi-Fi programs, etc.
· Work in conjunction with property’s leasing team to execute new and renewal leases to meet or exceed client objectives, in accordance with operating budget or other directives.
· Develop and maintain an appropriate level of involvement in community affairs and activities representing both the Properties and its ownership.
Financial:
· Develop annual operating budgets and business plans in accordance with ownership requirements, including third party owners.
· Responsible for achieving budgeted NOI, maximizing property cash flow, and overall financial performance of the Properties.
· Develops cost saving strategies to reduce operating expenses including but not limited to utilities, landscaping, maintenance/janitorial and marketing programs.
· Cross reference contracted vendor invoices to ensure services and material billed is in accordance with the service contract – including field verification that stated work is completed per terms of
the agreement prior to the release of payment.
· Monitors compliance with laws as they relate to property specific guidelines and occupancy standards.
· Develop critical path schedules necessary to track, manage, and connect projects across all-company disciplines.
Leadership:
· Maintains open and clear communication with the tenants, vendors, and other staff members to ensure the vision for the Properties and their operations are adhered to.
· Resolves conflicts with utmost professionalism and create a culture of teamwork and outstanding customer service.
· Directs activity of staff, including Marketing, Facilities, Maintenance, and Security, if any.
· Reviews and evaluates all processes and procedures. Recommends best practice improvements.
Qualifications:
· Minimum of seven (7) years’ experience in managing retail and/or mixed-use preferred.
· Tenant coordination experience desired.
· CSM, CPM, and/or RPA designations preferred.
· Experience with property management related software such as MRI, Yardi, Nexus Payables, PayScan, Smartsheet.
· Related bachelor’s degree or an education/experience combination in business administration, real estate (leasing), property management and/or retail management.
· Thorough knowledge of Microsoft Office products.
· Comfort with social media.
