- Assist in budgeting and financial management tasks related to property operations.
- Create, manage, and distribute recurring operational reports including weekly WAR, KPIs, Ledger Adjustment, delinquency, turnkey days, etc.
- Assist with the preparation and management of property management documents, including property operational contracts, annual inspections, and property inventory.
- Develop comprehensive project plans and manage a project team throughout the complete project life cycle.
- Coordinate due diligence efforts following a comprehensive checklist for potential acquisitions, ensure proper transference of service contracts and utilities, and execute all needed materials for transition.
- Assist in preparing properties for disposition including reviewing contracts, vendor invoices, recurring POs, contract cancellation notices, lease file audits and disposition cadence calls.
- Manage the full cycle of service contract execution, from obtaining signatures to document distribution and storage, and create recurring Purchase Orders (PO's) based on contract terms.
- Coordinate with A/P on facilitating new and existing service provider set up while ensuring vendor compliance and required insurance COI.
- Complete and continually update the Contract Review Summary document for each property as contracts are added, cancelled, or terms are changed.
- Prepare and distribute all vendor cancellation letters as directed by the Regional Operations team.
- Monitor contract performance and proactively review expiration dates addressing any issues or discrepancies.
- Collaborate with legal, procurement, and corporate teams to ensure compliance with company policies and regulatory requirements; maintain accurate property records and databases at the corporate level.
- Implement and improve operational processes to enhance efficiency.
- Maintain schedule for monthly reports and AME (Accounting Month End) due dates at the site level.
- Reconcile monthly property-related expenses
- Conduct regular audits and inspections to maintain compliance as directed.
- Assist in developing and implementing emergency response plans.
- Associate degree in Business Administration, or a related field
- Minimum of 3 years of related experience or an equivalent combination of education and experience
- Excellent organizational and multitasking abilities
- Strong verbal and written communication skills
- Proficiency in Microsoft Excel, Microsoft Office Suite, and Microsoft Teams
- Ability to work independently and as part of a team
- Problem-solving skills and attention to detail
- Bachelor's degree
- Property management certification (e.g., CAM, CPM)
- Prior property management experience
