ECI Group is currently recruiting an Operations Analyst in Property Management, who would play a crucial role in ensuring the smooth operation of property management activities. This role involves supporting daily property operations, providing data analysis, project management, and administrative services. The ideal candidate is organized, detail-oriented, proficient in Microsoft Office Suite, possess exceptional Microsoft Excel skills, and is an excellent communicator who can multi-task in a fast-paced environment.

What You'll Do

  • Assist in budgeting and financial management tasks related to property operations.
  • Create, manage, and distribute recurring operational reports including weekly WAR, KPIs, Ledger Adjustment, delinquency, turnkey days, etc.
  • Assist with the preparation and management of property management documents, including property operational contracts, annual inspections, and property inventory.
  • Develop comprehensive project plans and manage a project team throughout the complete project life cycle.
  • Coordinate due diligence efforts following a comprehensive checklist for potential acquisitions, ensure proper transference of service contracts and utilities, and execute all needed materials for transition.
  • Assist in preparing properties for disposition including reviewing contracts, vendor invoices, recurring POs, contract cancellation notices, lease file audits and disposition cadence calls.
  • Manage the full cycle of service contract execution, from obtaining signatures to document distribution and storage, and create recurring Purchase Orders (PO's) based on contract terms.
  • Coordinate with A/P on facilitating new and existing service provider set up while ensuring vendor compliance and required insurance COI.
  • Complete and continually update the Contract Review Summary document for each property as contracts are added, cancelled, or terms are changed.
  • Prepare and distribute all vendor cancellation letters as directed by the Regional Operations team.
  • Monitor contract performance and proactively review expiration dates addressing any issues or discrepancies.
  • Collaborate with legal, procurement, and corporate teams to ensure compliance with company policies and regulatory requirements; maintain accurate property records and databases at the corporate level.
  • Implement and improve operational processes to enhance efficiency.
  • Maintain schedule for monthly reports and AME (Accounting Month End) due dates at the site level.
  • Reconcile monthly property-related expenses
  • Conduct regular audits and inspections to maintain compliance as directed.
  • Assist in developing and implementing emergency response plans.
Requirements:
What You'll Need

  • Associate degree in Business Administration, or a related field
  • Minimum of 3 years of related experience or an equivalent combination of education and experience
  • Excellent organizational and multitasking abilities
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Excel, Microsoft Office Suite, and Microsoft Teams
  • Ability to work independently and as part of a team
  • Problem-solving skills and attention to detail
