About the role

The Workplace Associate Program Manager provides workplace services and operational management to increase individual well-being, personal productivity, and effectiveness for Workplace Programs. The Associate Program Manager is responsible for developing and managing multiple workplace experience team members, overseeing day-to-day operations, ensuring their team is aligned with the client's needs and objectives, and partnering with the client to set priorities and goals.

Workplace Programs give employees access to amenities and perks such as discounts, convenience services like dry cleaning and haircuts, specialty events, and more. This position helps employees save time and money through unique offerings and reduce stress through high-touch services and world-class customer service. This position is responsible for the team delivering customer service and operational support for onsite convenience services, onsite specialty events including vendor fairs and government agency visits, discount programs delivered through third party vendors, and various local offerings including museum sponsorships and sports and music tickets.

What you'll do

  • Collaborates with clients to assess needs and sets priorities for Workplace Experience Service delivery. Services include, but are not limited to:
    • Specialty Fairs
    • Vendor Management
    • Meeting & Event Support
    • Community Building
    • Workplace Coaching
    • Space Reset
    • Workplace Onboarding
    • New Site Openings
    • Recreation Programs
  • Directly manages some workplace services programs, as required.
  • Remains informed about developments within the Workplace Experience industry, and networked with in-company subject matter experts to bring world class solutions to bear for the client.
  • Conducts listening exercises to better understand client needs.
  • Develops workplace experience program materials, including client and company brand compliance.
  • Partners with clients and senior leadership to develop a strategic vision for the future. Responsible for executing strategic plans.
  • Present in QBRs and MBRs; provide analytics and data in partnership with operations team relevant to Business Reviews and KPIs; maintain artifacts related to KPIs.
  • Manages accuracy, production, quality and retention of program materials; which may include administration of SharePoint and internal team sites similar client specific portals. Ensure client and company materials follow client and company brand guidelines.
  • Provides support to Sr. Coordinators surrounding customer service, marketing and communications, event management, vendor relationships, contracts and billing.
  • Develops or advises in the development of resources and materials needed to facilitate change management associated with workplace services programs.
  • Ability to work in a fast-paced environment and in ambiguity; highly adaptable and flexible.
  • Utilizes and maintains the integrity of databases and other digital tools associated with service delivery.
  • Partners with technology partners to develop or customize tools as needed to support program objectives. Maintain accuracy and relevance of resources over time.
  • Attends, moves meetings, and coordinates all moves with client contacts with high level organization skills; ability to take impactful notes and proactively share updates.
  • Responsible for overall performance and excellence of the client's workplace program. To that end, other duties not outlined in this job description may be assigned.
  • Supervisory Responsibilities:
    • Provides formal supervision to individual employees within a single functional or operational area.
    • Recommends staff recruitment, selection, promotion, advancement, corrective action and termination.
    • Plans and monitors appropriate staffing levels and utilization of labor, including overtime.
    • Prepares and delivers performance appraisal for staff.
    • Mentors and coaches team members to further develop competencies.
    • Leads by example and models behaviors that are consistent with the company's values.

What you'll need
  • Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.
  • Education and Experience: Bachelor's Degree required. A minimum of 2 - 3 years related experience (e.g.Concierge, Hospitality, Room Management, or Customer Service roles) is required. Prior workplace program management highly preferred.
  • Certificates and/or Licenses: None required. Project Management Certification preferred.
  • Communication Skills: Ability to tailor communications based on audience; Strong vendor facing and user facing communication skills. Respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Effectively present information to an internal department and/or large groups of employees. Comfortable meeting and interacting with new people. Warm and engaging demeanor, and the ability to assess circumstances, empathize and offer help.
  • Reasoning Ability: Understand and carry out general instructions in standard situations. Solve problems in standard situations, which requires basic analytical skills with strong reasoning and critical thinking.
  • Scope of Responsibility: Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short term impact to co-workers and supervisors. Strong team player; thrives on collaboration.
  • Facilities or space management experience preferred.
  • Proficient with Google sheets, Google Workspace (Gmail, Calendar, Slides, Docs Sheet) and Excel is helpful.
  • Creative writing background is preferred.

*California Residents: CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the Workplace Program Associate Manager - Perks position is $95,000 annually and the maximum salary for the Workplace Program Associate Manager - Perks position is $105,000 annually. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience. Successful candidates will also be eligible for a discretionary bonus based on CBRE's applicable benefit program. This role will provide the following benefits: 401(K), Dental Insurance, Health Insurance, Life Insurance, and Vision Insurance.
