Job Summary:
As an Administrative Assistant at AssetPrime, you will be an integral part of our team, providing crucial administrative and clerical support to ensure the smooth functioning of our financial operations. Your outstanding organizational skills and attention to detail will contribute to maintaining the efficiency and productivity of our firm. You will work closely with our financial professionals, assisting in managing client investments, coordinating financial tasks, and fostering strong client relationships.
Key Responsibilities:
- Assist in managing financial professionals' calendars, scheduling client meetings, and coordinating conference calls.
- Prepare, format, and distribute financial documents, investment reports, and presentations accurately and promptly.
- Coordinate travel arrangements for the team, including booking flights, accommodations, and itineraries.
- Handle incoming calls, emails, and correspondence promptly, redirecting them to the appropriate personnel as needed.
- Assist in updating and managing client databases, ensuring accuracy and confidentiality.
- Support financial professionals in bookkeeping tasks, expense tracking, and invoice processing.
- Help plan and execute financial events, seminars, and client meetings.
- Assist in the recruitment process for financial roles, posting job openings, and arranging initial screenings.
- Support HR-related tasks, including onboarding new employees and maintaining employee records.
- Perform general office duties, including photocopying, scanning, and filing of financial documents.
Qualifications and Skills:
- High school diploma or equivalent (Bachelor's degree preferred).
- Proven experience as an Administrative Assistant, preferably in a financial or wealth management setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with financial tools and software.
- Strong organizational and multitasking abilities to manage multiple financial tasks efficiently.
- Excellent written and verbal communication skills for clear and effective client interactions.
- Keen attention to detail and accuracy in handling financial documents and data.
- Strong interpersonal skills to collaborate effectively with colleagues and clients.
- Ability to maintain confidentiality and handle sensitive financial information with professionalism.
- Problem-solving mindset and adaptability in a dynamic financial environment.
- Previous experience in the Asset and Wealth Management industry is advantageous but not mandatory.
